I. Introductory provisions
These terms of use of the FFF EXPO application for Android, iOS and the web (the ‘Application’) (the ‘Terms’) govern the relationship between the operator of the Application, Future Advanced Technologies, z.ú., with its registered office at Brigádníků 44/2, 100 00 Praha 10, Czech Republic, company identification number 19075341, registered in the Register of Institutes maintained by the Municipal Court in Prague under file number U 1132, and its users.
The purpose of the Application is to provide information concerning the international Future Forces Forum trade fairs and to offer an overview of exhibitors and partners, as well as the full programme, including details of individual programme items. The Application also enables registered participants in the international Future Forces Forum trade fair to connect with one another, find contacts among exhibitors, partners, delegations and experts, and arrange meetings.
II. Definitions of key terms
‘Application’ means the FFF EXPO application for Android, iOS and the web, a tool developed in connection with the international Future Forces Forum trade fairs.
‘Match-Making’ means a feature of the Application which, when activated, enables a Registered Participant to connect with others and find contacts among exhibitors, partners, delegations and experts, including the option to arrange a meeting.
‘Operator’ means Future Advanced Technologies, z.ú., with its registered office at Brigádníků 44/2, 100 00 Praha 10, Czech Republic, company identification number 19075341, registered in the Register of Institutes maintained by the Municipal Court in Prague under file number U 1132, email: [email protected].
‘Registered Participant’ means a participant in the international Future Forces Forum trade fair who accesses the Application and is recorded in the official registration maintained by the organiser of Future Forces Forum at www.fff.global/cs/contact/registration/ (https://www.fff.global/cs/contact/registration/). ‘User’ means a person who uses the features of the Application.
‘Public Mode’ means use of the Application without registration, sign-in or consent to the Match-Making feature.
III. Access to the Application and registration
Access to and use of the Application without signing in
The Application may be used in Public Mode without registration, sign-in or consent to Match-Making. A public user may view public information about Future Forces Forum, including, in particular, the programme, events, lectures and exhibitors.
In Public Mode, no participant profile is created and use of the Application is not linked to a Registered Participant’s QR identity from the official registration maintained by the organiser of Future Forces Forum, or to any other identity.
However, limited technical data may be processed automatically in Public Mode for displaying content, security and technical operation, such as the IP address, device and browser type, operating system, Application version, language, time of the request, network status and technical installation identifiers. Further information about the processing of personal data by the Operator is set out in the Privacy Policy.
Access to and use of the Application when signed in to a Registered Participant account
Only a Registered Participant may create and sign in to a Registered Participant account. When signing in, the Application verifies the Registered Participant’s QR code and surname against their registration with the organiser of Future Forces Forum. Resetting the Application or signing out of the Application does not cancel the Registered Participant’s original official registration with the organiser of Future Forces Forum.
Following a successful sign-in, a Registered Participant may gain access to the list of Future Forces Forum participants, their profiles and other non-public features, depending on their official registration with the organiser of Future Forces Forum and their account settings in the Application. The scope of available features is determined by participation type, permissions, account settings, service availability and valid consents.
A Registered Participant must protect their QR code, the surname used for verification, their device and access to the Application. They must not allow another person to use their identity. A Registered Participant must notify the Operator without undue delay of any suspected misuse of their Registered Participant account.
IV. Features of the Application
Depending on the mode of use, the type of participation in Future Forces Forum, permissions, account settings, service availability and consents granted, the Application offers the following features:
- the programme and information about Future Forces Forum;
- an overview of Future Forces Forum exhibitors and partners;
- a list of Future Forces Forum participants;
- profiles of Future Forces Forum participants;
- searching and filtering;
- favourites;
- Match-Making;
- connection or meeting requests;
- an events programme;
- chat;
- notifications and other related features.
V. Match-Making and networking
The Match-Making feature is available to a Registered Participant only if they activate it. Activation of this feature is voluntary. By activating it, the Registered Participant consents to the Application, to the extent permitted by their official registration with the organiser of Future Forces Forum and their account settings:
- including the Registered Participant among Match-Making users;
- displaying the Registered Participant to authorised Registered Participants in searches and in the list of Future Forces Forum participants;
- making their permitted profile data available to other Future Forces Forum participants;
- enabling the Registered Participant and other Future Forces Forum participants to initiate communication with one another by sending a connection request or a meeting request;
- enabling the Registered Participant to accept or decline a request.
Match-Making enables authorised users to send text messages and supported images. Each user acts in their own name and is responsible for the content of their messages, shared materials, offers, meetings and subsequent legal or business dealings.
Match-Making does not constitute consent to marketing, automatic disclosure of a Registered Participant’s contact details outside the Application, or public availability of a Registered Participant’s profile on the internet.
A Registered Participant may withdraw their consent to Match-Making separately at any time by selecting the option to opt out of Match-Making in Settings. Once this choice has been processed, the Registered Participant will no longer be included among Match-Making users, and their profile visibility, searchability and communication associated with this feature will be disabled. Public content remains available. Withdrawal does not affect the lawfulness of previous processing of the disclosed data and does not automatically remove information or content that has already been made available to another User.
Registered Participants acknowledge that they are solely responsible for all content they share or otherwise make available through the Match-Making feature. The Operator bears no responsibility for contacts established or meetings held. The Operator is not a party to dealings between users and does not guarantee their identity beyond verification against the registration QR code, their authority to act on behalf of the stated organisation, the truthfulness of their statements, the quality or lawfulness of an offer, their solvency, or the conclusion or outcome of a transaction.
VI. Registered Participant profiles
Depending on the official registration with the organiser of Future Forces Forum, permissions and account settings, authorised signed-in Registered Participants may see, in particular, the following in a Registered Participant’s profile: first name and surname, photograph, title, rank, academic degree, organisation, position, country, assignment to a national delegation, participation type or status, participation in events, and information about availability for Match-Making.
The data displayed in a Registered Participant’s profile primarily comes from the official registration maintained by the organiser of Future Forces Forum. Changes or corrections should be arranged through the Operator. The Operator’s contact email is [email protected].
Unauthorised downloading, bulk copying of profiles created in the Application, creation of independent participant databases, publication or use of the participant list for spam, unsolicited marketing or any circumvention of privacy settings is strictly prohibited.
VII. Conditions of use of the Application
When using the Application and in connection with it, the User must act in accordance with applicable law, these Terms and professional ethics, and must not infringe the rights of third parties.
When using the Application and in connection with it, the following are prohibited:
- sending spam and unsolicited commercial communications;
- harassment, threats, discrimination, humiliation or continued contact after rejection, blocking or a request to end communication;
- sharing hateful, sexual, violent, fraudulent, misleading or unlawful content, or content that infringes the rights of third parties;
- impersonating another person or falsely stating a rank, position, organisation or authority;
- unauthorised collection and further dissemination of data, including unauthorised sharing of third parties’ personal data, sensitive data or likenesses;
- scraping and automated extraction of database content;
- circumventing the Application’s security, limits or access permissions;
- distributing malware and phishing content;
- unauthorised sharing of classified, official, security-sensitive, export-controlled or other confidential information.
The User acknowledges that a recipient may save a message or image shared within the Application, take a screenshot of it or use it as evidence. Users are advised not to send content through the Application that is not safe to disclose to the intended recipient.
VIII. User content
By sending a message, image or other supported content, the User confirms that they are authorised to use and share it and that it does not infringe any third party’s rights. The User retains their rights in the shared content.
The User grants the Operator a non-exclusive authorisation to process the content technically to the extent necessary to operate the Application, in particular to provide, deliver, store, secure and administer communication features.
The Operator protects the content of communications and related data by appropriate technical and organisational measures, including encryption where used. The manner of processing may vary depending on the device, available feature and stage of delivery. A recipient may retain, copy, forward or use the content made available to them outside the Application; the Operator has no control over such subsequent actions.
IX. Device permissions and notifications
The Application may access the camera and photographs and use notifications.
The camera is used only following a User action to scan a QR code or take a photograph for chat. Access to photographs is used to select an image for chat or save an image to the device. Selected content is not sent until the User confirms that it should be sent.
Notifications are optional and are used to alert Users to chat messages and important service information. The User decides whether to enable them separately on each device and platform through the relevant system or browser settings.
Declining notifications or subsequently disabling them does not withdraw consent to Match-Making or prevent ordinary use of the other available features of the Application.
X. Moderation, security and restriction of access
The Operator may proportionately restrict or terminate access to features requiring sign-in where necessary to protect Users, security, service availability or third parties’ rights, or to address a breach of these Terms.
Depending on the seriousness of the breach of these Terms, the Operator may notify the User of the breach and request that they cease the breach and/or remedy it, restrict individual features of the Application, temporarily block the User, or terminate the User’s access to the Application.
The User may report inappropriate content, identity misuse, a security incident or any other breach of the Terms to [email protected]. Do not include more personal, sensitive or classified data in a report of inappropriate or unlawful conduct than is necessary. Available User blocking or muting functions may be used in the Application.
XI. Intellectual property
By registering in the Application, in particular by accepting these Terms, the User is granted a limited, non-exclusive and revocable licence to use the Application within the scope of these Terms, subject to the reservations and restrictions set out in them. The User is entitled to use the Application only to the extent necessary to fulfil its purpose in accordance with these Terms.
The licence is granted exclusively for use by Users in their capacity as such. Users may not interfere with, change or otherwise modify the Application, nor may they distribute, rent, reproduce or use it for any purpose other than that for which the licence is granted under these Terms. The User may not reverse engineer, decompile or disassemble the Application software, or otherwise attempt to obtain its source code. Users may therefore not resell, license, sublicense, distribute, publish, provide access to or transfer the Application to third parties, whether for profit or free of charge.
Apart from the licence granted, Users have no other rights in the Application or its software. The grant of a licence under these Terms does not transfer any intellectual property rights in the Application, its parts or its software.
Without the Operator’s prior written consent, Users may not rename the Application or remove its identification details, copyright notices, logos, trade marks or other intellectual property notices, information or acknowledgements. All logos and trade marks are and remain the exclusive property of the Operator or its licensors.
Users acknowledge that all content, design elements and materials available in the Application, including, without limitation, graphics, logos, text, screen displays, methods of operation and service names, belong to the Operator and/or its partners and licensors and may be protected by copyright, trade marks, patents, trade secrets and/or other intellectual property or proprietary rights of the Operator and/or its partners and licensors. The Operator and its partners and licensors retain all rights, title and interest in the foregoing. Users may not use, copy, reproduce, modify, republish, upload, publish, transmit or distribute them in any form or by any means unless expressly permitted by these Terms.
When using the Application, Users must at all times act so as not to infringe any rights of the Operator or third parties and must comply with applicable law, in particular legislation concerning copyright.
XII. Availability of the Application and liability
The Operator is not liable for any costs, damages or expenses (including, without limitation, compensatory, incidental and consequential damages, loss of profit or damage arising from loss of data or interruption of operations) resulting from:
- use of the Application or inability to use it;
- unauthorised access to or alteration of transmissions or data in the Application;
- statements or conduct of any third party in the course of using the Application or in connection with it.
The Operator does not warrant that the Application will always be accessible, uninterrupted, timely, secure, error-free or free from computer viruses or other harmful or invasive code, or unaffected by force majeure, including failure to launch the Application or inability to use it, lack of telecommunications equipment or devices, or failure of information technology or telecommunications equipment or devices. The Application may be temporarily unavailable or may be reasonably modified, restricted or discontinued. All exclusions and limitations of liability set out in the Terms apply only to the extent permitted by applicable law.
Programmes, lists, times, locations and other event information may change. To the extent permitted by law, the Operator is not liable for decisions made solely on the basis of informational content, for Users’ conduct, or for indirect damage caused by an outage or an external service. Nothing in these Terms excludes liability that cannot lawfully be excluded.
XIII. Termination of use of the Application
Resetting a Registered Participant’s Application account constitutes withdrawal of the Registered Participant’s acceptance of these Terms, terminates Application sessions and initiates the deletion or disassociation of data relating to use of the Application within the systems controlled by the Operator.
Resetting a Registered Participant’s Application account does not cancel their original registration with the organiser of Future Forces Forum. Upon accepting these Terms again, they may sign in again or create and sign in to a Registered Participant account.
Resetting a Registered Participant’s Application account may not immediately or completely remove data that has been provided to other users or independent controllers, records retained for legal or security reasons, or temporary backup copies. The precise effect depends on the nature of the data, the feature used and the state of processing.
The Operator is also entitled to terminate or restrict the User’s access to a Registered Participant account under the conditions set out in Article X.
XIV. Personal data protection
When operating the Application, the Operator processes certain personal data of Users. Information about the processing of personal data by the Operator is available in the Privacy Policy.
XV. Changes to the Terms
The Operator may unilaterally amend or modify these Terms, with such changes taking effect upon publication in the Application. In the event of a material change to the Terms, the Operator may require renewed confirmation of acceptance of these Terms before the next sign-in.
XVI. Final provisions
These Terms are governed by the laws of the Czech Republic, in particular Act No. 89/2012 Coll., the Civil Code, as amended. The courts of the Czech Republic have jurisdiction over any disputes arising between the Operator and Users.
Please send questions about these Terms to [email protected].
These Terms take effect on 7 October 2026.
